Opening hours

The Hill is open every day of the week from 8h until 17h

Residents and short term guests have 24h access.

Liveries who have a specific need to ride their horse before 8h or after 17h can write their motivation to [email protected]. We do not provide access before 7h or after 20h30. In case of emergencies, liveries can contact us for access to their horses. We have 24h staff at The Hill, however outside of our above opening hours, we would demand only to be contacted in case of absolute medical urgencies of your horse, so that the private life and mental well-being of staff gets respected.

Non-residents can only contact us for access before 7h and after 20h30 in case of a critical medical urgency.

Security and safety is crucial for The Hill. We have an armed response and an extensive camera and Ajax security network that actively triggers any movement from 20h30 until 7h, which is why we impose the above policies. We do not allow non-residents to operate our Ajax network.

There is a strict speed limit of 20km/h at The Hill. We have a speed gun at the guardhouse and ask an immediate payment of R in case of speeding. We also do random checks at night.

We do not allow any drunk driving at The Hill and can stop any driver of a vehicle at any time for an alcohol test.

Each person needs to tag in on Evtrack at the main gate; also staff, grooms, groundteam or subcontractors. If a person uses a tag that is not his, this is a big offence and we will ask that person (be it staff member, resident, client or visitor) to immediately leave The Hill.

We have three entries to The Hill, one entry via Heatherbank Road (also know as Fairfax Road) and one access via Sedan Road at Montmedy. The Sedan road access is only reserved for pre-approved access or specific events, at which time a guard will be present. The PE Riding Club gate is only open during PERC events and can only be used for pedestrians and horses.

The entries and the whole farm are secured with cameras, Ajax security and armed response; please take the below instructions and time scheduled into account to avoid any unpleasant event of armed response.

Access hours

The only main entry for visitors is at Heatherbank Road. There are two gates at the main entry. The first black gate is open every day from 8h until 17h; the second main gate is always closed.

  1. Residents and Airbnb guests have a pre-approved Remootio key to enter 24/7. When residents wish to invite a visitor a form form the visitor needs to be filled out and signed off before Remootio access can be granted. Please plan this at least 72h ahead. The link to the form can be found here and must be filled out and mailed for approval to [email protected]

  2. Livery clients have access on the black gate; our yard is open from 8h until 17h for livery clients. If a livery client needs specific earlier access or later access this needs to be requested at least 72h in advance via [email protected]. We do not allow delivery client access before 7h or after 20h; all alarms are armed before 7h and after 20h. In case of a medical emergency of a horse the yard manager can be called on <> and will be there with the client to attend to the medical emergency.

  3. Horseriding clients register at the guardhouse on Evtrack and have access from 8h until 17h

  4. Deliverie and suppliersscan only enter form 8h until 17h. In case there is a delivery outside these hours the resident/Airbnb guest has to met the delivery service at the guardhouse and open there for the delivery service.

  5. Uber or other taxi services We do not allow any uber or taxi service to enter The Hill outside 8h - 17h. In case you would need an Uber pickup outside these hours you will have to meet the uber outside of the black gate.

Black gate

The first black gates runs on Remootio. Only residents and short-stay guests can get a Remootio key for the black gate that provides access outside the 8h to 17h timeframe. In principle, we do not allow exceptions to this rule. In case an exception is required, please send us on [email protected] the motives with the precise days and hours on which you would require access.

We do not allow any car to tailgate at the black gate. If you bring a car in outside the 8h-17h that is not registered at the guardhouse this is serious breach of our security rules and we hold the right to remove the person who committed this breach immediately from The Hill.

Wooden gate at the guardhouse

The main wooden gate at the Guardhouse runs on Evtrack. Only persons registered on Evtrack can pass through the wooden gate.

Under no condition can you bring in guests that are not registered on Evtrack. Under no condition can you allow a guest to walk or drive behind you without tagging in.

The Hill is a friendly and positive environment. Open, truthful, direct, and objective communication are our core values. We do not accept any gossip or indirect verbal targeting of persons. If you have complaints, ideas or doubts, please address these directly with The Hill via the outlined channels.

Please respect the following clear guidelines:

Any complaints, suggestions or appraisals on our staff: please use [email protected]. Complaints will be treated confidentially. Please refrain from gossiping or third-person criticism of our staff.

Do not give our staff verbal or Whatsapp instructions. Only use the outlined communication channels.

Do never pay our staff for personal or client favours. We do not accept this, as it would create a toxic environment of favouritism. Any kickbacks or commission schemes between staff and suppliers or service providers are not acceptable and will lead to immediate dismissal of the staff member and The Hill stopping the relationship with the supplier immediately.

Do not communicate with staff on private numbers, private Whatsapp or private social media. Only use the outlined communication channels.

Cameras

Each owner of a stabled horse has an individual IP camera with remote access. The footage of any of our cameras cannot be distributed in any way.

We run on batteries and loadshedding and have a backup line to our main fibre line; our camera recording remains however on a "best effort" base and we cannot be held liable for any events where technical issues would interrupt the recording.

We have to obey strict privacy rules. As per POPI act, you cannot store nor distribute any footage from our cameras.

Privacy - image rights - cameras

We hold the privacy of all family members of The Hill high and ask you to do the same.

You can, of course, take pictures of the estate and the horses. If however a parent or horse owner asks you to not publish pictures of their children or horse we ask you to immediately adhere to this request.

Under no circumstance can you take pictures or videos and distribute them on social media to discredit or criticise any horse owner, rider, resident, guest or staff member. Use the appropriate channels for any form of criticism so that positive growth reins over negative toxicity. If you would for whatever reason, entertain in any negative gossip/criticism of any horse owner, rider, resident, guest or staff member on any digital platform or communication tool, we hold the right to terminate our contract per immediate order and ask you to leave The Hill immediately.,

We have security cameras on the estate. The footage of these images is stored as per the POPI act. If there would be a security incident where you would like to request our security company to analyze any footage, please send such request to [email protected]

Under no circumstance can you take pictures of a horse that is not yours to discredit the horse's owner on any social media or digital communication channel? If you have concerns about a horse of another owner, address it in writing to The Hill via [email protected], and we will address any problems in a positive and objective environment. If you entertain any indirect gossip on a horse and its riders/owners, we hold the right to remove your horse and yourself from the farm immediately. Address any concerns in an open and written objective way with us and the owner in writing via [email protected]

Speed limit & Parking

There is a strict speed limit of 20km/h on the estate at all times.

There is a strict speed limit of 20km/h on the Estate at all times ! Speed controls with a speed gun happen at any time. The fine is R 500, immediately payable. Your car cannot leave the estate until the fine is paid. We also do speed tests at night. In case of multiple speed infractions, we hold the right to refuse access to the driver and car permanently.

The estate has children, horses and riders at any time; their safety comes first. Nobody will gain any significant time by speeding.

Paddocks

All our paddocks are larger than 1500 m2 and each paddock has a fresh water tap with cool SANS241 controlled drinking water

Paddocks are assigned for each horse. We do not rotate paddocks.

We do not change paddocks once a paddock is assigned to a horse. The logistics of a paddock change are big with regard to groom routines and would mean we have to keep paddocks free, which comes at a great cost. There will be times in summer when the grass is dry and not growing and when clients will have to up the feed. Most yards in Qheberha have much smaller paddocks, and many are just sand paddocks.

In case there is a behavioural issue with a new neighbouring horse, the owner can inform us at [email protected] , and we will assess the need for a paddock change with the owner.

At times, we will inform the owner of a short-term paddock change when we do a de-weeding of the paddocks and MCPA spraying. We let a paddock rest at least 2 weeks after MCPA spraying. The de-weeding routines are planned by The Hill and not at the client's request. We have to take many factors into account.

Shavings stalls

Weekly shavings replacement and top up

The stables get cleaned every day.

Replacement and top-up of the shavings happen every Wednesday with the amounts of bags each owner assigned per week. Sourcing good quality shavings is a complex logistics. The supply nor quality is consistent; transport breaks down,... We pre-finance a large buffer stock of shavings and store them in dedicated ventilated containers. We pick up shavings with our trucks and staff when needed.

Some owners believe that sourcing shavings themselves saves money. We doubt this when considering all costs of organizing a quality and steady supply.

In case an owner wishes to supply his/her own shavings, the following guidelines need to be respected:

  1. The shavings must be placed in closed bags on Tuesdays between 12.00 and 17.00 at the horse stall. We cannot store the bags or leave them lingering in the stables. If we do not have bags at the stall on Tuesday evening, we cannot top up the stall on Wednesday morning.

  2. We cannot store bags on behalf of the client. There is the cost of container storage, transport up and down, and inventory management,... which all comes at a cost

  3. We cannot change "own supply" versus "The Hill supply". When the client decides to do their supply, he/she is responsible for guaranteeing the supply of the required top-up bags every Tuesday between 12.00 and 17.00
